We are looking for an Office Administrative Assistant. This position is a fixed-term contract starting as soon as possible until the end of August or September (depending on candidate’s availability). This position is open to anyone including high-school and university students.

 

The Office Administrative Assistant primary responsibility is to deliver a best-in-class customer service experience. Our customers range from individual homeowners to industry professionals and you will be expected to naturally tailor your communications to meet our customers' needs.

Key Responsibilities

  • Serves visitors by greeting, welcoming, and directing them appropriately.

  • Consistently display a high level of professionalism while delivering superior customer service.

  • First person to answer incoming calls.

  • Answering, fielding & transferring telephone calls.

  • Taking and ensuring messages are passed to the appropriate staff member on a timely basis.

  • Opening work orders.

  • Handling queries and complaints via phone, email and general correspondence.

  • Taking payments & entering information into accounting software.

  • Support with the day-to-day operations of the office.

  • Filing.

  • Managing office supplies such as stationery, equipment and furniture (requires finance-team approval before order is placed).

  • Data-entry.

  • Performing ad-hoc (when necessary or needed) administration duties.

  • Ability to handle a demanding reception area.

  • Strong attention to detail.

  • Time management skills.

  • Exceptional multi-tasker.

  • Strong organizational skills.

  • Both a team-player and able to work independently.

  • Ability to accept and adapt behaviours based on coaching & feedback.

  • Microsoft Office (Word, Excel, PowerPoint), CRM experience an asset.

Schedule

  • Monday-Friday; 8am-4:30pm
